How to Choose a CRM for a UK Small Business
DISPATCH BY: The CRMnet Team
Choosing a CRM is one of those decisions that quietly shapes how a sales team operates for years. Get it right and the tool disappears into the background of daily work. Get it wrong and you end up with a shared spreadsheet wearing a CRM's clothing — expensive, half-adopted, and full of stale data.
Start With Your Pipeline, Not the Feature List
Before comparing vendors, map your actual sales stages on paper: how a lead becomes an opportunity, what has to happen before a deal is called "won." Most CRM evaluations go wrong because teams shop for features before they've agreed on process. A tool that perfectly mirrors a process nobody follows won't fix anything.
Questions Worth Asking Every Vendor
- Where is our data actually stored? For UK businesses handling customer data, ask specifically about hosting location and data processing agreements — don't accept vague "cloud-based" answers.
- What happens if we leave? Ask how easy it is to export your full pipeline history in a usable format. Vendor lock-in is a real cost that rarely shows up in the sales demo.
- Who actually uses this daily? Sit a rep down with the trial account and watch them try to log a real call. Friction shows up fast.
- What's genuinely automated versus manual? Ask for a live demo of automation, not a slide describing it.
The Adoption Problem
The best CRM on paper is worthless if reps route around it. Before committing, involve the people who'll use it daily in the shortlist — not just sales leadership. Adoption tends to track directly with how much the tool reduces friction in someone's actual Tuesday afternoon, not how impressive it looks in a board deck.
A Simple Test
After a trial, ask each rep one question: "would you rather log this deal in the CRM or in your own notes?" If the honest answer is "my own notes," the CRM has already lost, regardless of what the feature comparison sheet says.
